BC time-zone changes: Check your calendar and booking settings

Written by Joe Tomkins

British Columbia’s move to year-round Pacific time may cause some appointments to appear one hour later than intended. Use this guide to check your settings and avoid missed meetings.

Note: These instructions apply to communities using Vancouver time. If your community uses Mountain time, use your local time zone.

Which time zone should I choose?

Select Vancouver, America/Vancouver, or Pacific Time (British Columbia), depending on your system.

BC’s year-round Pacific time is UTC−7. Avoid choosing Los Angeles, California or a generic PST setting for a Vancouver-based calendar.

Important: Updating your time-zone settings may not correct existing appointments. Review upcoming meetings separately.

Check your systems

Google Workspace / Google Calendar

  1. Open Google Calendar on your computer.

  2. Select Settings → General → Time zone.

  3. Under Primary time zone, search for and select Vancouver.

  4. For separate team calendars, go to Settings for my calendars → select the calendar → Time zone.

Check Google Calendar in a web browser for warnings about affected events. Confirm the intended meeting time before accepting a suggested correction.

Microsoft Outlook

Use the instructions for your version:

  • Web or new Outlook: Go to Settings → Calendar → View → Time zones.

  • Classic Outlook for Windows: Go to File → Options → Calendar → Time zones.

  • Outlook for Mac: Check the default time zone in Calendar preferences.

Select Pacific Time (British Columbia) and save.

If the option is missing, install available Windows and Outlook updates. Some Mac versions may show an incorrect UTC offset beside the correct British Columbia name.

Recurring meetings: Updating a series can reset changes made to individual occurrences. Record those exceptions before editing and re-create them afterward.

Calendly

  1. Check your time zone under Account settings → Profile.

  2. Open Scheduling → Manage availability.

  3. Select each availability schedule and check its Time zone.

  4. Check each event type’s Availability settings.

  5. Search for Vancouver and confirm the displayed local time.

Make a test booking and compare the booking page, confirmation email and calendar entry. If Vancouver is unavailable or the time is incorrect, contact Calendly support.

iPhone

  1. Install available software updates and restart your phone.

  2. Go to Settings → General → Date & Time.

  3. Enable automatic time and time-zone settings.

  4. If the wrong time zone remains, manually select Vancouver.

Also check Settings → Apps → Calendar → Time Zone Override. Leave it off to follow your phone’s time zone, or select Vancouver if you intentionally use an override.

Android phones

  1. Install available updates and restart your phone.

  2. Open Settings and search for Date and time.

  3. Enable Automatic time zone and Use location for time zone, if available.

  4. If the time zone is incorrect, turn automatic time zone off and select Canada → Vancouver.

  5. Confirm the displayed time is correct.

Menu names vary by phone.

What else should I check?

  • Upcoming appointments: Client calls, lender meetings, training and signing appointments.

  • Recurring meetings: Check the next few dates, including any individually rescheduled meetings.

  • Booking links: Confirm a test booking matches on your desktop and phone.

  • Reminders and automations: Review CRM tasks, scheduled emails, text reminders and Zapier workflows.

  • Lender cutoffs: Confirm the date, time and lender’s local time zone directly.

  • Client instructions: Use wording such as “November 10 at 11:00 a.m. Vancouver time.”

If someone else organized a meeting, ask them to confirm the time and send any correction to everyone.

Do not move every appointment back one hour. Some events may already have been corrected.
