Zapier makes it easy to automate your workflow using tools like Google Sheets, Google Contacts, and Google Calendar. With a free Zapier account, you can set up five simple automation (Zaps) to streamline your mortgage tracking and follow-up process. Here’s a step-by-step guide to get started:


Step 1: Setting Up Your Google Sheet

  1. Create a New Google Sheet:

    • Name your sheet something like “Mortgage Deals Tracker” for easy reference.

    • Add the following columns:

      • Deal ID: A unique identifier for each deal.

      • Client Name: The full name of your client.

      • Email: The client’s email address.

      • Phone Number: The client’s phone number.

      • Application Status: A field to track progress (e.g., “Submitted,” “Approved”).

      • Mortgage Request: A field to enter the mortgage amount requested.

      • Mortgage Closing Date: A field to enter the date the mortgage closes.

      • Mortgage Term Length: A field to enter the term length (e.g., 1, 3, or 5 years).

      • Lender Name: A field to enter the name of the lender holding the mortgage.

      • Notes: A field to enter specific notes about the deal.

  2. Use this sheet to track deals and progress throughout your mortgage process.


Step 2: Setting Up Your Zaps

With a free Zapier account, you can create five Zaps. Follow these steps to set up each automation:

Zap 1: Log a New Deal in Google Sheets

  • Trigger: Select Finmo’s "Deal Started" event.

  • Action: Choose “Create Spreadsheet Row” in Google Sheets.

    • Map data fields like “Deal ID” and “Client Name” to their respective columns in your sheet.

  • Result: A new row is added to your Google Sheet whenever a deal starts in Finmo.

Zap 2: Create a Contact in Google Contacts

  • Trigger: Use Finmo’s "Deal Started" event.

  • Action: Choose “Create Contact” in Google Contacts.

    • Map fields like “Client Name,” “Email,” and “Phone Number.”

  • Result: A new contact is created in Google Contacts for each new deal.

Zap 3: Create row on Google Sheets when submitted to a lender.

  • Trigger: Use Finmo’s "Deal Submitted" event.

  • Action: Select “Create row in Google Sheets” in Zapier.

    • Use the data available from Finmo via Zapier to populate a row on a spreadsheet every time you submit a deal to a lender.

  • Result: Your Google Sheet stays updated with real-time application progress.

Zap 4: Add a 30-Day Follow-Up to Google Calendar

  • Trigger: Use Finmo’s "Application Submitted" event.

  • Action: Choose “Create Event” in Google Calendar.

    • Map fields like the client’s name and deal details into the event.

    • Set the event date for 30 days from the closing date.

  • Result: A reminder for a follow-up is automatically added to your Google Calendar.

Zap 5: Add Client Birthday to Google Calendar

  • Trigger: Use Finmo’s "Application Submitted by Borrower" event.

  • Action: Choose “Create Event” in Google Calendar.

    • Map fields like the client’s name and birthday.

    • Set the event recurrence to yearly.

  • Result: Client birthdays are added to your Google Calendar for easy tracking.


Step 3: Using Google Contacts for Easy Client Management

  • Access your Google Contacts via your existing Google or Google Workspace account.

  • Use the automatically created contacts to email, call, or message clients.

  • Google Contacts can serve as a basic CRM until you’re ready for a more advanced system.
